CAREER OPPORTUNITIES: Executive Assistant and Estate Manager
MS Training Centre for Development Cooperation (MS TCDC), located in Usa River near Arusha, was established in 1976 to prepare Danish volunteers to work in East and Southern Africa. We provide development management training to our global partners from civil society (national and international NGOs), government, development partners, and progressive private sector. Our main geographical focus is Sub-Saharan Africa but increasingly also other global locations. We are looking for a competent, self driven professional to fill in two (2) positions of Executive Assistant and Estate Manager.
The Executive Assistant reports directly to the Principal and his/her main duty is to carry out administrative tasks of an overall nature.
Diploma in Secretarial, Business Administration, Mass Communication, Public Relations and any relevant field.
Minimum of three (3) years relevant work experience and must be experienced in taking and producing minutes in a timely manner.
Excellent verbal and written communication in English and Kiswahili.
Works systematically with focus on good recordkeeping and keeping deadlines.
A self motivated person who is able to work under minimum supervision and put in extra hours if needed.
Good computer knowledge, able to use office software, word and excel.
High level of cross-cultural skills.
Assisting the leadership team in:
Secretarial and practical matters relating to the Centre.
Preparation of presentations and speeches.
Preparation of press releases.
Translation of correspondence (English & Kiswahili).
Arranging meetings including, preparation of agenda and taking minutes.
Arranging seminars including invitation letters.
Communication activities such as:
Information to all staff from the leadership team.
Arranging social and extracurricular activities.
Keep records of leave data for all staff and prepare statistics.
2.0 Estate Manager – Building/Civil Technician
The Estate Manager reports to the Director of Finance and Administration and his/her main responsibility is to ensure a continued high standard of compound and buildings.
A Diploma or Bachelor Degree in Civil Engineering from a reputable and recognized Technical College or University.
Minimum of four (4) years in the building construction or building maintenance field in a reputable organization. Practical skills and knowledge on the civil construction field with understanding eg. of level measuring and basic start up of construction. A proven track record of maintenance procedures, planning and management is essential.
Additional attributes required
Good verbal communication and presentation skills in English and Kiswahili.
Good people management skills.
Willing to work under minimum supervision and extra hours.
Good computer knowledge able to use office software, word and excel.
Good planning and budgeting skills.
Develop short and long term planning of the Centre's infrastructure, maintenance and upgrading of the built up environment.
Together with maintenance section draw up short and long term programs for the general improvement of the environment and landscape.
Together with Head of maintenance Section prepare the budgets and annual work plan including preventive maintenance schedules.
Conducting proper management follow-up of maintenance activity and rectification of detected faults in buildings and services.
Assisting in feasibility studies, to evaluate the viability of proposed projects in estates management.
Checking daily maintenance repair works in carpentry, plumbing, electrical, masonry and painting trades. Follow up on contractors.
Conducting maintenance surveys and recording inventory of related works.
Production of bill of quantities (BOQ) and estimated costs of works.
Surveying and preparation of drawings/sketches for buildings extensions and renovations.
Follow up on service contracts.
Follow up on asset registration and inventory.
Terms and conditions
The position will be based at the MS TCDC in Arusha and it is offered under MS TCDC terms and conditions with a fixed term contract of five (5) years (with a six (6) month probation period) with the possibility of extension depending on the future programmatic focus and needs of MS TCDC.
