Admission Officer

The Admission Officer is responsible for the comprehensive management of student recruitment and admissions for both undergraduate and postgraduate programmes at MSTCDC

Background

MS TCDC is a renowned Pan-African training centre, situated in Arusha, Tanzania, unique in our dedication to high-quality capacity development for social transformation. For more than 50 years, we have delivered high quality capacity development in areas such as: democratic governance, human rights, transformational leadership, gender equality, youth participation and climate change governance. 

MS TCDC’s programmes are designed to support transformative and value-driven leadership across Africa through both formal and non‑formal education. As part of our continued expansion and commitment to delivering high-quality culinary services for guests, students, conferences, and events, we are seeking a highly skilled and  motivated professional for the position of: 

Role Summary 

The Admission Officer is responsible for the comprehensive management of student recruitment and admissions for both undergraduate and postgraduate programmes at MSTCDC. This includes planning, coordinating, and executing all aspects of the admissions process from marketing and outreach to application evaluation, selection, and enrolment. 

The role ensures a transparent, efficient, and fair admissions process, upholding institutional standards and compliance with national higher education regulations, including requirements from the Tanzania Commission for Universities (TCU) and the National Council for Technical and Vocational Education and Training (NACTVET). The Admission Officer works closely with academic departments to support enrolment targets and facilitate a seamless transition for new students, including orientation and integration activities. 

In addition to operational responsibilities, the Admission Officer contributes strategically to shaping the composition and diversity of the student body, aligning recruitment efforts with MSTCDC’s vision, mission, and long-term academic objectives. 

MAIN RESPONSIBILITIES:  

  • Admissions Management 
  • Coordinate the end-to-end admissions process for the Bachelor of Arts in Governance and Development and the Master of Leadership and Governance programmes.  
  • Review and evaluate applications, including academic records, references, and supporting documents, to assess applicants’ suitability.  
  • Ensure admission decisions align with institutional standards and regulatory requirements.  
  • Maintain accurate and up-to-date admission records and applicant databases.  
  • Prepare and issue admission letters and ensure timely communication with applicants on their application status.  
  • Oversee student enrolment and registration processes.  
  • Maintain regular communication with admitted and prospective students.  
  • Organize and coordinate new student orientation programmes.  

    Student Recruitment and Outreach 

  • Conduct school visits, information sessions, and recruitment fairs to engage prospective students.  
  • Organize open days and special events to showcase MSTCDC programmes and campus experience.  
  • Respond promptly to inquiries from prospective students, sponsors, and partners.  
  • Provide guidance to applicants on admission requirements, procedures, and deadlines.  
  • Collaborate with the Communications team to promote academic programmes and recruitment initiatives.  

    Data Management and Reporting 

  • Manage admission data and prepare regular reports on applications, admissions, and enrolment trends.  
  • Provide data-driven input for institutional planning and programme development.  
  • Ensure the confidentiality, accuracy, and integrity of student data.  
  • Monitor and track student fee payments in coordination with the finance unit.  
  • Coordinate student accommodation arrangements where applicable.  

    Collaboration and Compliance 

  • Ensure compliance with TCU, NACTVET, and MSTCDC academic policies, guidelines, and procedures.  
  • Liaise with faculties, administrative units, and external stakeholders to ensure a smooth and efficient admissions process.  
  • Support the planning and implementation of orientation programmes and student integration activities.  
  • Assist in coordinating alumni engagement and networking initiatives. 

OTHER RESPONSIBILITIES: 

  • Assist in planning and coordinating alumni engagement activities and networking initiatives. 
  • Support the development and execution of marketing and promotional materials for academic programmes. 
  • Participate in institutional events, open days, and recruitment fairs as required. 
  • Contribute to continuous improvement of admissions processes, policies, and procedures. 
  • Provide backup support to other academic or administrative units when needed. 
  • Assist in reporting to the Academic Dean or Deputy Principal (Academics) on trends, challenges, and recommendations related to student recruitment and admissions. 
  • Support special projects related to student enrolment, outreach, or institutional development. 
  • Maintain professional development by staying informed about higher education trends, regulations, and best practices in admissions. 

EDUCATION REQUIREMENTS: 

  • Bachelor’s degree in Education, Public Administration, Social Sciences, Business Administration, or a related field. 

EXPERIENCE REQUIREMENTS: 

  • At least 3 years of experience in admissions, student services, or higher education administration. 
  • Experience managing student recruitment, enrolment, and application evaluation processes. 
  • Familiarity with higher education regulations, databases, and reporting systems. 

OTHER SKILLS AND ABILITIES: 

  • High level of integrity and strong commitment to confidentiality. 
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks and deadlines. 
  • Strong communication and interpersonal skills to engage effectively with students, faculty, and external stakeholders. 
  • Customer service orientation, with a focus on providing clear guidance and support to applicants and students. 
  • Ability to work independently under supervision and as part of a team in a multicultural environment. 
  • Problem-solving and decision-making skills to address admissions and student-related issues. 
  • Proficiency in ICT, including database management systems, MS Office applications, and admissions software. 
  • Attention to detail and accuracy in processing applications, maintaining records, and reporting. 
  • Adaptability and flexibility to respond to changing priorities and institutional needs. 
  • Collaboration and teamwork skills to work effectively across academic and administrative units. 

Terms and conditions: 

  • The position of Admission Officer will be based at the MS TCDC Training Centre in Usa River, Arusha under the following terms and conditions: 
  • The position is offered under MS  TCDC’s  employment  terms  with  a  three  (3)- year contract, with the possibility of extension depending on the future programmatic focus and organizational needs. 
  • A basic salary will be provided under MS TCDC’s scheme of service, aligned with the candidate’s relevant experience and educational qualifications.
